Quick Overview
Development and deployment of a centralized system to manage over 100 annual maintenance contracts for HVAC systems across more than 120 buildings in Dubai, Sharjah, and Ajman.
The Problem
Managing HVAC maintenance contracts across numerous buildings using a paper-based system led to a lack of service history, repeated visits, and difficulties in cost control and efficient scheduling.
The Solution
- Electronic Maintenance Report: Technicians generated a detailed digital report for every maintenance visit, capturing work performed, asset status, and parts used.
- Building Record: The system maintained a comprehensive electronic record for each building, consolidating all maintenance visits, asset details, and associated contract information.
- Contract Record: The system stored and managed the terms of each maintenance contract, including details relevant to spare part charges and service level agreements.
- Technician Record: The system tracked each technician’s activities, providing insights into their workload, efficiency, and the history of their service visits.
- Reporting: The system provided comprehensive reporting capabilities, allowing for analysis of maintenance activities, costs (at building, asset, and contract levels), technician performance, and trends to inform decision-making and potential contract adjustments.
